How to Generate an etims Invoice With ecitizen

Understanding how to generate an eTIMS invoice is essential for business owners. The Kenya Revenue Authority’s (KRA) new invoicing system eTIMS ensures that all business transactions are accurately captured for proper tax filing.

In this guide, we’ll walk you through the process of generating an eTIMS invoice directly from your individual or company’s eCitizen profile.

Requirements to Create an eTIMS Invoice

  1. A valid KRA PIN (business or individual) for the business creating the invoice.
  2. A valid KRA PIN (business or individual) for the customer (individual or company).

How to Generate eTIMS Invoices Using eCitizen

Generating an eTIMS invoice involves several steps: logging in to eCitizen, navigating to the KRA tab, accessing the invoicing tool, and creating an invoice. The steps are further explained Below :

Step 1: Access KRA on eCitizen

Log In to eCitizen:

    • Use your credentials to log in to eCitizen. If you can’t remember your password, reset it using your registered phone number or email. If you don’t have an account, create one.

    Navigate to KRA

      • Once logged in, scroll to the Kenya Revenue Authority (KRA) tab and click to open it.

      Select Login Type:

        • When the eCitizen OAuth screen appears, choose whether you want to log in as a company or as an individual. Select “Individual” if the business is not registered and “Company” if the products are sold within a registered business. You can Keep Switching Individual and Businesses using the Tab Above

        You can switch the KRA portal on eCitizen from individual to registered business by using the marked tab above.

        Update Address Information

        • Once you log in, you will need to update your addresses. After successfully doing so, you will be directed to the KRA Dashboard, where you can access various KRA services.

        Step 2: Access the eTIMS Invoice Tool

        On the KRA Dashboard menu, locate the “Sales – Invoices” option under the invoicing tab and click on it. This will open a new window within the KRA dashboard. If you have previously issued eTIMS invoices using USSD, they will be listed here. To create a new invoice, click on “Create Invoice.”

        Step 3: Generating the eTIMS Invoice

        Once you click “Create Invoice” on the KRA portal, select whether it is a business to business or business to customer transaction, The fill in the required information by adding the products you are selling, enter the customer’s KRA PIN (which will auto-populate their details), specify your payment terms, choose a payment method (e.g., M-Pesa or cash), and add any notes for the order. That’s it! You have generated an eTIMS invoice, which you can download as or send to your customer via Email.

        By following the steps above, you’ll effortlessly generate an eTIMS invoice.
